Payment Terms · B2B Commercial Control

Payment Terms Should Follow Order Milestones — Not Assumptions.

Botanicblossoms supports wholesale, OEM/ODM, private-label and commercial decoration projects. The payment arrangement for each order should be confirmed together with the product scope, quotation, production milestones, inspection requirements and shipping release conditions.

We do not publish one universal payment percentage or credit period for every buyer. The actual currency, payment method, amount, due milestone and release condition should be written into the quotation, proforma invoice or other agreed commercial document.

Experience · Where Payment Discussions Go Wrong

A Payment Can Be Sent Correctly and Still Be Applied to the Wrong Commercial Assumption.

Cross-border B2B orders become risky when the buyer and supplier are not using the same order reference, payment milestone, beneficiary information or release condition.

Reference

Payment Arrives Without a Clear PI or Order Reference.

A payment record should be traceable to the correct buyer, order, invoice or project.

Milestone

The Buyer Thinks Payment Starts Production, but Sample Approval Is Still Open.

Payment and technical approval can be separate triggers. Both need to be defined in the order.

Bank Details

A Bank-Detail Change Is Accepted from an Unverified Message.

Any change in beneficiary information should be independently verified through an agreed company contact before payment.

Release

The Buyer Assumes Goods Can Ship Before the Agreed Payment Release Condition Is Met.

Shipment release should follow the actual order-specific payment and inspection arrangement.

Expertise · What Payment Terms Must Confirm

A Useful Payment Term Answers More Than “How Much?”

The commercial document should make the core payment variables visible enough that both buyer and supplier can trace the payment to the correct order milestone.

01 · Amount

What Amount Is Due at This Stage?

Tie the payment amount to the current quotation, PI or contract value.

02 · Currency

Which Currency Applies?

The currency used for the quotation and payment should be clear before remittance.

03 · Milestone

When Is the Payment Due?

Examples of milestones can include order confirmation, development, production release, inspection or shipment release depending on the project.

04 · Method

Which Payment Method Is Agreed?

Use only the method stated in the actual commercial document or separately confirmed by the company.

05 · Reference

Which PI, PO or Project Does It Belong To?

Payment proof should identify the order accurately enough for reconciliation.

06 · Release

What Does This Payment Unlock?

Sampling, tooling, material preparation, production, shipment or another milestone should be defined by the order.

Expertise · Payment Milestones by Order Type

Different Orders Can Need Different Payment Milestones.

Select the order type closest to your project. The panel explains what should be aligned commercially without publishing fixed percentages.

Existing Product Wholesale

Keep the Commercial Route Tied to Order Confirmation and Shipment Release.

Existing-product orders normally have fewer development milestones. The key is to confirm which payment activates the order and which payment or commercial condition is required before shipment release.

Early Milestone

Order confirmation / production-start condition.

Later Milestone

Pre-shipment or agreed release condition.

Main Risk

Payment timing is discussed without defining the shipment-release condition.

Trust · Commercial Document Authority

Website Guidance Should Never Override the Actual Order Documents.

The final quotation, proforma invoice, purchase order, approved specification and any written commercial amendment should agree on the current product scope and payment arrangement.

Authority Rule

If a project-specific commercial document differs from general website guidance, the written order-specific agreement should control the transaction.

Quotation

Commercial Basis Before Order.

Product, quantity, price, customization and payment basis should align.

PI / Order Confirmation

Current Order-Level Payment Reference.

Confirm amounts, milestones, currency and beneficiary instructions.

PO

Buyer Reference and Order Scope.

Buyer-side terms should not contradict the supplier quotation or approved commercial arrangement.

Amendment

Document Changes Before Money Moves.

Quantity, price or milestone changes should be confirmed before the next payment.

Trust · Beneficiary Verification

Never Treat an Unexpected Bank-Detail Change as a Routine Email Update.

Buyers should verify the beneficiary name, account details and payment reference against the current commercial document. Any unexpected change should be independently confirmed through an agreed company contact before funds are sent.

01 · Match

Match the Beneficiary to the Current Order Document.

Do not rely on copied bank details from an old order.

02 · Verify

Verify Unexpected Changes Independently.

Use an agreed contact route rather than replying only to the change message.

03 · Reference

Include the Correct Order or PI Reference.

Clear payment references reduce reconciliation errors.

04 · Confirm

Send Payment Proof Through the Agreed Contact Route.

This helps the order team reconcile funds with the correct project.

Expertise · Currency & Bank Charges

The Amount Sent and the Amount Received Can Differ.

Cross-border payments can involve sending-bank, intermediary-bank, receiving-bank or currency-conversion charges. The order should define how any applicable charges are handled so the required amount can be reconciled correctly.

Currency Rule

Pay in the currency and amount stated on the current commercial document unless an alternative has been agreed in writing.

Currency

Use the Quoted Currency.

Avoid converting to another currency without written agreement.

Bank Charges

Clarify Charge Allocation.

The parties should understand whether bank charges may reduce the received amount.

Short Receipt

Reconcile Before the Next Milestone.

If the received amount differs, confirm the reason before assuming the payment milestone is complete.

Exchange Changes

Do Not Reprice Informally.

Any change to the agreed commercial value should be documented.

Expertise · Payment Control Workflow

Quote → Order Confirmation → Payment → Reconciliation → Production Release → Inspection → Final Release → Shipment

Click a stage to see what should be checked before the commercial process moves forward.

Step 01 · Quote

Confirm the Commercial Basis Before the Buyer Sends Funds.

The quotation should identify the product, quantity, customization, price, currency and payment structure well enough for the buyer to understand the commercial route.

What We Need

Final quotation basis, buyer details, order scope and requested commercial terms.

What Can Go Wrong

Payment is sent while quantity, customization or payment milestones are still under negotiation.

Exit Condition

Buyer and supplier understand the commercial basis before order confirmation.

Trust · Payment Changes, Credits & Offsets

Do Not Turn an Informal Agreement into an Accounting Assumption.

Any credit, refund, offset, revised payment milestone or change in the commercial value should be confirmed in writing for the actual project.

Order Change

Update the Commercial Value First.

Quantity, specification or packaging changes can affect the amount due.

Credit

Document Any Agreed Credit.

Do not deduct an assumed credit from the next payment without written confirmation.

Refund

Use the Actual Project Agreement.

Refundability depends on the order, development, materials and written commercial agreement.

Offset

Do Not Offset Without Agreement.

Claims or prior-order issues should not be silently deducted from another order payment.

Authority · Manufacturing Context

Payment Milestones Should Support the Real Production Workflow.

Botanicblossoms operates an approximately 3,500 m² production facility in Jinhua, Zhejiang, with 51–100 employees, including 5–10 R&D personnel, and monthly production capacity of around 500,000 units.

Our OEM/ODM services cover product design, colors, materials, sizes, packaging, finishes, molds and private-label requirements. Because wholesale, customized and development-heavy orders use different production paths, the commercial payment structure should be aligned with the actual project.

Commercial Transparency Is Better Than a Generic Payment Promise.

This page explains how payment terms are structured. It does not invent terms that have not been provided or approved for the actual buyer.

No Fixed Percentage

Payment Ratio Is Order-Specific.

Confirm the amount and milestone in the actual commercial document.

No Fixed Credit Period

Credit Terms Require Explicit Approval.

Do not assume open-account or deferred-payment terms from general website content.

No Public Bank Details

Use Current Verified Commercial Documents.

Bank information should be provided and verified through the actual order process.

No Blanket Refund Rule

Refundability Depends on the Project Agreement.

Development, tooling, material or completed production can affect the commercial outcome.

Payment Terms FAQ

Questions Buyers Should Resolve Before Sending Funds.

The final quotation, PI or other order-specific document should control the actual payment arrangement.

Payment terms depend on the product, order size, customization, development scope, inspection requirements and commercial arrangement. We therefore confirm the applicable payment milestones in the actual quotation, PI or order documents rather than publishing one universal percentage for every buyer.

Use the payment method stated in the current commercial document or separately confirmed by Botanicblossoms for the specific order. This page does not publish a universal list of methods that may not apply to every transaction.

Payment may be one production trigger, but final sample approval, specification lock, artwork approval or material readiness can also matter. The actual production-start condition should be defined in the order.

Any credit or deferred-payment arrangement would need explicit commercial approval and written confirmation for the specific buyer and order. It should not be assumed from prior purchases or general website guidance.

Charge allocation should be clarified in the actual transaction because sending banks, intermediary banks and receiving banks can apply different fees. The required received amount should be reconciled against the current commercial document.

Do not send funds based only on an unexpected bank-detail change received by email or message. Independently verify the change through an agreed Botanicblossoms contact route before payment.

It can be structured that way if both parties agree. The inspection provider, inspection milestone, acceptance result and payment or shipment-release condition should be written into the order.

Only if the claim, credit or offset has been agreed in writing. Do not reduce another order payment based on an assumed or unresolved deduction.

Refundability depends on the actual project agreement and the work already performed, including development, tooling, material preparation or production. Any refund or credit rule should be confirmed in writing rather than assumed from a general policy.

What This Policy Can Explain

How Payment Milestones and Commercial Controls Are Structured.

It explains payment references, milestone logic, beneficiary verification, reconciliation, inspection-linked release and change control.

What This Policy Does Not Promise

One Fixed Percentage, Credit Period, Bank Account or Refund Rule.

The actual quotation, PI and order-specific written agreement should control the payment terms for the project.

Discuss Payment Terms

Send the Order Structure First. Then Confirm the Commercial Milestones.

Share the product, quantity, customization, sample status, target market, inspection requirement and shipping plan. We can then confirm the payment structure that applies to the actual project.
